FAQ'S - Document Management Systems

What is a digitised document and how does it differ from a paper version?
A digitised document is one that has been converted into a digital format. Using the technology available, digital documents are stored easily, take up far less space and can be accessed quickly.

Documents in my company are filed in folders in cabinets. How does this differ from that of a Document Management System?
A document management system also uses a filing system but this is done digitally, thus allowing easy access and requiring very little storage space.

In what formats will the documents be saved and can they be altered once they have been scanned?
Although the format is dependant on the application, there are a variety of formats available (see below). It is important to note that each of these formats have their own unique set of advantages and limitations.

  • ASCII Text
  • JPG Images only
  • Microsoft Office formats : MS Word, MS Excel
  • Multi-Page TIFF Images only
Depending on the initial requirements, documents can be saved and then altered or read only.

How many documents can I save to CD?
Approximately 15000 letter-sized black and white pages can be stored onto a single CD. Note that colour documents and pictures can also be scanned to CD but require more memory which means that less 'fit' onto the CD.

If digitised documents are written to CD, how do I access them?
Documents can be accessed using standard Windows tools.

Can an existing Document Management System be expanded at any stage?
Yes.
